Privacy Policy

How we collect, use and look after the personal details you give us through this website.

Who we are

This website is run by Neil Green Services Ltd, a company registered in England and Wales (company number 08588803). Our address is 21 Lark Hill Drive, Ripon, North Yorkshire HG4 2HS.

Neil Green Services is the data controller for the personal data described in this policy. If you have a question about it, write to us at the address above or use the contact form.

What we collect and why

The enquiry form

When you use the enquiry form on our contact page we collect your name, phone number, email address, postcode and your message. The form sends these to us by email and keeps a copy on the website for up to 12 months, so that your enquiry is not lost if the email fails to arrive. After 12 months the copy is deleted automatically. If you accepted analytics cookies, the enquiry also records how you found the site. We use these details to reply to you and to deal with your enquiry.

The online booking form

Existing customers can request a service appointment online. When you do, we collect:

  • Your name, address and postcode
  • Your phone number and email address
  • The appliances to be serviced
  • The date and time you have asked for
  • Anything you tell us in the notes box

The booking request is stored on our website so that one of our engineers can check the diary and approve or decline it. We email you to tell you the outcome. When a booking is approved, the appointment is added to our engineers’ Google Calendar. The calendar entry includes your name, address, postcode, phone number, email address, the appliances and your notes, so the engineer has what they need on the day.

Technical information

When you submit a form or make a choice on the cookie banner, the website briefly uses your IP address to limit repeated submissions and block spam. The company that hosts the website may also keep standard server logs.

Our lawful basis

We use your details to take steps you have asked for before we do work for you, and then to carry out that work. This is the contract basis in UK data protection law. Where you send a general enquiry, we rely on our legitimate interest in answering it.

We do not sell your details or pass them to anyone else for marketing.

Who we share it with

We share personal data only with the companies that provide the services we need to run the business:

  • Google, which provides the calendar our engineers use and, if you accept analytics cookies, Google Analytics
  • The company that hosts this website
  • The company that provides our email
  • Resend, which delivers the emails this website sends, including the emails about a booking request and the enquiries sent to us from the contact form

These companies act on our instructions. Google and Resend may process data outside the UK under the safeguards set out in their own terms. Resend keeps its records of the emails it delivers in the United States.

How long we keep it

We keep a copy of an enquiry on the website for up to 12 months, after which it is deleted automatically. We keep booking requests only for as long as we need them for the purposes described above, and to meet our legal and accounting obligations.

Cookies and analytics

This website asks before it uses analytics cookies, and uses none unless you accept. Our cookie policy lists every cookie and explains how to change your choice. The website does not use advertising cookies.

Google Analytics

If you accept analytics cookies, we use Google Analytics 4, loaded through Google Tag Manager, to count visits, to see which pages are used and to see how often people call us or send a form from the website. Neither is loaded unless you accept. Your consent is our lawful basis for this, and you can withdraw it at any time with the Cookie settings link at the bottom of any page.

Google Analytics records the pages you look at, the kind of device and browser you use, the town or region you are in, and whether you used a phone link, sent the enquiry form or made a booking request. Google Analytics 4 does not store IP addresses. We never send it your name, address, phone number, email address, anything you type into a form, a booking reference or the private key in a booking link.

Google acts as our data processor for Google Analytics. Analytics data is kept for 14 months.

The record of your cookie choice

When you make a choice on the cookie banner, the website stores a record of it: a random reference created in your browser, what you chose, the version of the banner you saw, and the date and time. We keep it so that we can show the choice was made. The record does not include your IP address, any detail of your browser, your name or your email address. We keep these records while they are needed to show the choice was made.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal data we hold about you
  • Ask us to correct anything that is wrong
  • Ask us to delete your data, or to restrict how we use it
  • Object to our use of your data
  • Ask us to pass your data to you or to another organisation in a usable format

To use any of these rights, contact us using the details at the top of this page. We will reply within one month.

If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.

Changes to this policy

We will update this page if the way we handle personal data changes.
