Landlord gas safety checks and records

Neil Green Services Ltd carries out landlord gas safety checks on rented homes in Ripon and the surrounding towns and villages. We check properties on natural gas and on LPG.

What the law requires

The Gas Safety (Installation and Use) Regulations 1998 put these duties on a landlord:

  • Keep the gas appliances, flues and pipework you provide in a safe condition
  • Have a gas safety check carried out every 12 months by a Gas Safe registered engineer
  • Give a copy of the record to existing tenants within 28 days of the check, and to new tenants before they move in
  • Keep each record for at least two years

This is a legal duty. It cannot be passed to the tenant.

What the check covers

We check every gas appliance the landlord provides, such as the boiler, a gas fire or a cooker. For each one we confirm that it is burning correctly, that the flue is removing the fumes, that there is enough ventilation and that the safety devices work. The gas pipework is checked as well.

Appliances that belong to the tenant are not part of the landlord’s duty. The pipework that supplies them still is.

The gas safety record

After the check you receive a landlord gas safety record. Many people call it a gas safety certificate or a CP12. It lists each appliance and its location, the results of the checks, any defects found and what was done about them. It also carries the engineer’s name and Gas Safe registration number.

If an appliance is not safe to use, we tell you straight away and explain what is needed to put it right.

Keeping the same renewal date

The check can be done up to two months before the current record runs out, and the new record still runs for 12 months from the old expiry date. That gives you time to arrange access with the tenant without the date creeping forward each year.

A safety check is not a service

The gas safety check confirms the appliances are safe. It does not include the cleaning and inspection that a manufacturer’s service does. Many landlords have the boiler serviced at the same visit, which also keeps the boiler warranty valid. A gas fire can have its service then too.

Common questions

How often does a rented property need a gas safety check?

Every 12 months. You can have it done up to two months before the due date and keep the same renewal date.

What happens if an appliance fails the check?

The defect is written on the record and we explain what needs doing. An appliance that is not safe must not be used until it has been repaired or replaced.

Does the tenant need to be at home?

Someone needs to let us in, and we need to reach every gas appliance and the gas meter. That can be the tenant, the landlord or a letting agent.

Do I need a carbon monoxide alarm in a rented property?

In England, yes. Landlords must fit a carbon monoxide alarm in any room used as living accommodation that contains a fixed combustion appliance, other than a gas cooker.
